The complete guide

How to write emails momo.ai understands

One rule, a bit of plain English (or German), and momo.ai takes it from there. Here's exactly what to write and what happens next.

momo@momo.ai

The one rule: CC it in

momo.ai isn't a tool you open — it's an address you add. CC it into any email thread where a meeting needs to happen, exactly like you'd CC a colleague.

Real examples

Copy the pattern, not the words — momo.ai reads natural language, not a template.

New meeting
To: jane@example.com   Cc: momo@momo.ai
Subject: Quick sync
Hi Jane, could we find 30 minutes sometime next week to go over the roadmap? Best, Frank
Why it works: "sync" + "30 minutes" + "next week" — a meeting word, a duration, and a timeframe.
New meeting
To: mike@partner.com   Cc: momo@momo.ai
Subject: Intro call?
Hi Mike, would you have 20 minutes on Thursday for a quick intro call? Happy to work around your schedule. Best, Frank
Why it works: "call" + "20 minutes" + "Thursday" — a meeting word, a duration, and a timeframe.
New meeting
To: team@company.com   Cc: momo@momo.ai
Subject: Project kickoff
Hi team, can we set up a kickoff meeting for next Tuesday afternoon? Should take about an hour. Best, Frank
Why it works: "set up a meeting" + "next Tuesday afternoon" + "an hour" — a scheduling phrase, a timeframe, and a duration.
Reschedule
Reply on the same thread, still CC'ing momo.ai:
Actually, can we push this to next week instead? Something came up.
Why it works: "push this to" + a new timeframe, referencing an already-scheduled meeting.
Cancel
Reply on the same thread:
Please cancel this meeting — we don't need it anymore.
Why it works: a clear cancel word ("cancel"), tied to "this meeting".

What happens after you hit send

Usually within a minute — no app to check, it all comes back to your inbox.

momo.ai reads the thread

It works out who's involved from the To/Cc list and what you're asking for from the message itself.

It checks connected calendars

Google Calendar, Microsoft 365, or CalDAV — whatever you and any other momo.ai users on the thread have connected.

Everyone else gets a simple link

External participants receive a short email with a few time options and a secure link — no account required to pick one.

Or it books instantly

If everyone on the thread already uses momo.ai with a connected calendar, it finds a mutually free slot and books it automatically — no selection step at all.

Confirmations go out to everyone

Once a time is set, calendar invites and a confirmation email land in every participant's inbox.

If momo.ai gets confused

This is rare, but here's what causes it and what happens instead.

No timeframe at all "Let's meet sometime" with nothing to anchor on — momo.ai will reply asking you to clarify rather than guessing.
Ambiguous intent A message that could be read as scheduling, rescheduling, or just chit-chat — momo.ai asks once instead of assuming.
Negations "We do NOT need to meet about this" is correctly read as not a scheduling request — no slots are proposed.

Works in English and German

🇬🇧🇩🇪

momo.ai recognizes scheduling, rescheduling, and cancellation requests in both English and German — "Können wir das auf nächste Woche verschieben?" is understood just as well as its English equivalent, even though the momo.ai dashboard and website are currently shown in English only.

Frequently asked

Do I need to install anything?

No. There's no app and no browser extension — you use your existing email client and just add momo.ai to the CC field.

Does the other person need a momo.ai account?

No. External participants pick a time from a secure link — no sign-up required.

Can I forward an email to momo.ai instead of CC'ing it?

CC on the original thread is the supported and reliable path, since momo.ai needs to see who else is on the thread to identify participants.

What if I need to change the meeting length or add someone later?

Just reply on the same thread describing the change — momo.ai treats it as an update to the same request.
